Paragraph 1. Introduction

 

    1. Library acquisition refers to the process: selection, purchasing, or obtaining materials to build and manage collections. These materials can include books, journals, newspapers, audiovisual materials, databases, e-books, and other digital or physical resources. The primary goal of library acquisition is to develop a balanced, diverse, and relevant collection that meets users requests.  

The textbooks are generally expensive, and Library recognizes that the high cost of textbooks can be a financial challenge for students. In case of the students, who truly cannot afford to buy textbooks there are emergency resources available to help out students who are in genuine financial trouble.

    1. The general policy of ADA University Library is intended to purchase a fixed number of textbooks[1] for a particular class, course of study or preparing for an examination on a subject or in an academic discipline.

 

Paragraph 2. General Procedures

 

    1. Faculty requests workflow and deadlines

 

1.1.1     Deans of the various Schools shall initiate collection of the following information from their faculty members concerning textbooks and supplementary academic materials they require for their courses:

1.1.2     Necessary Bibliographic information of the book - ISBN [international standard book number], author, title, publishing house/date.

1.1.3     Instructor’s name, course name and number of students.

1.1.4     School representatives shall provide the requested information to Library no later than June 30 for fall semester, and October 31 for spring semester.

1.1.5     Faculty members shall contact their respective Deans 3 (three) months before the beginning of semester (deadline for fall semester is June 15 and for spring - October 15) with a list of books required for their courses. After the approval of the textbook lists, Dean’s office shall provide the Library with the final lists in accordance with the deadlines mentioned in clause 2.1.2 above.

1.1.6     Requests shall be made on a timely basis to save financial resources of the ADA University.

1.1.7     The requests made after the deadlines (June 30 / October 31) would be provided with delay.

 

2.2     Textbooks for faculty         

2.2.1     If the faculty plans to use more than 60-70% of the given book, then the material is considered as textbook and this is a required title and will be ordered through Library.

2.2.2     If the faculty uses several recommended books for the course, only required books should be placed for the order to Library. Dean’s office should submit request list of all required titles to the ADA University Library to purchase several copies of these textbooks and place them on Reserve Collection for the semester period.

2.2.3.     A faculty member may also place a personal copy of a textbook on Course Reserves Collection and on this term, Library should inform School Secretary, also in case if Faculty shares electronic textbooks directly with students, he/she has to consider and protect copyright issues.

2.2.4     ADA University Library is responsible to acquire professor/instructor copies and host these items (print or electronic textbooks, supplementary materials and etc.) in the Library;

  1. Full-time and adjunct faculty members can request instructor and student copies according to deans’ approval;
  2. In case of duplicate-copy requests for faculty, one of the student copies (if there are extra copies) may be suggested as instructor copy in order to reduce the costs;
  3. Number of the requested student copies are aligned to the number of the students enrolled in the course, i.e. 1 (one) copy per 20-25 students. 

 

2.3     Textbooks for students

 

2.3.1     All course reserve materials for the students are available at the Library Circulation Desk and required to check out for allocated loan period (2-two hours).

2.3.2     Students may also purchase personal copies of textbooks from local and global textbook Bookstores.[2]

[2] It is normally required to place orders 6-8 weeks before starting of the semester.
